SVHOA Board Meeting August 28, 2001Meeting commenced at 7:37 p.m. Board Members in attendance: Brian Brick, Jill Warner, Jennie Brick, and Denise Hodges. Board Members absent: Toby Abom Other attendees: Jen Frick, Bookkeeper
The June Meeting Minutes were submitted via email and approved as read. There was not a July Board Meeting because we did not have a quorum of board members. Bookkeeper's Report: June and July financials were presented by the new bookkeeper, Jen Frick. Jen also presented the idea of providing homeowners with their annual dues statement in the January and February issues of the Crier. This would save significantly on postage as well as office supplies. Absentee owners would be billed as normal. And any homeowners who have not paid their dues by April 1, 2002, would be billed individually. The motion to present a bill in the January and February issues of the Crier was presented, seconded, and passed by all board members present. Jen also talked about changing banks and would get information from several banks. Beverly Merrick would have to get involved to change banks on the Dunsmuir Ridge account. Jen and Jennie would move forward on changing banks. Jen discussed working on collecting 2001 dues from delinquent homeowners. Jennie will contact Webmistress Carole Delozier and have Jen's email linked to the SV website. Tree Dedication: Jennie will contact Dawn to firm up an October date for the event. The 13th or the 21st were the best dates for the board members present. Jennie will also have Dawn contact Steve Murphy for the advanced tree planting. It was agreed that the SVHOA would sponsor a small reception after the dedication. Speed Trailer: Toby put in another request for a speed trailer but hasn't heard back from anyone. Brian said he would call AGAIN regarding the placement of a speed trailer. Deni mentioned that a neighbor called to report someone speeding who almost hit the neighbor as she was walking and the driver went to someone's house and dropped a bag full of dog poop on the front porch. Jill said she would call Dara Wiseman for tips on how to confront speeding or aggressive neighbors. Dog update: Another neighbor was harassed in Onset Park for having their dogs offleach. Deni called the harasser to inform the person that Onset park was not designated an onleash park. The harasser was very upset and indicated lack of knowledge and disagreement with the decision. Deni told the person that after research and presentation by a Dog Committee at meetings in 2000, the prior board had voted to allow dogs offleash in Onset park, and this information had been published in the May 2001 Crier. Brian said he would refer to the designation in the September Crier. Village Picnic 2001: An expense report was presented for the Picnic by Jennie. Total expenses were $1,197.88 and the total revenue (consisting of donations and garage sale income) was $1,855 leaving a net profit of $657.12. Jill talked about the wonderful support from the various neighbors, CITs and Michelle Fulper. Brian suggested that a formal letter be written to Dr. Harry Edwards of the Parks Department praising Michelle for all her help in the neighborhood. Brian also wants an official thank you to the "FunDudes" for the wonderful music as well as a thank you to the CITs. Jennie will write an article for the September Crier listing all the volunteers. Brian also suggested that perhaps SV should not have an annual picnic or at least try something new next year or at a different time of year. Mayor Brown invitation: Jill has contacted Mayor Brown's office several times by phone and fax and has been told that our meeting on October 23rd is on his calendar but he has not committed to that date. Jill will follow up. Sheffield Village Crier Next issue: Brian will send September issue to press on September 16th with all copy due no later than September 14th. Advertisements: All board members will try and sell ads. Jen Frick has been talking with the new Ballet School on MacArthur about running an ad. Jill agreed to talk to Estudillo Produce and Dad's Bar-b-q. Delivery: Jill will arrange for Josh Muller to deliver the next Crier. Parks/Open Areas Update Neighborhood Trees: Toby reported via email that the trees that were damaged by last year's storms will be replaced between November and May with the Crape Myrtle tree. Toby sent a thank you note to the tree people for their recent work. Doggie Dispensers: Toby refilled the dispensers and offered keys to the dispensers to any board members. It seems that people have been taking the full bags away with them which is an improvement. Clean up crews: The volunteer clean up crews organized by Steve Murphy did well but the trash by the freeway entrances keeps coming back. The volunteers who helped were Lita and Gary Flinders, Dan Martin, Matt Cronin and Steve Murphy. The dumped refrigerator on Covington Circle will be picked up soon by the Illegal Dumping Department. Carpentry work: Steve found a volunteer for the carpentry work on the stairway in Milford Park. Dave Lyman is going to get us a quote on the materials and will be in touch with Steve. Blight: Deni is concerned about the blight on her end of Marlow and other parts of the village. Deni will write an article for the Crier. Crime: Toby hasn't heard of any crime being reported in the village of late. Deni will call Dara Wiseman regarding our Community Policing Officer. Letters: Brian distributed recent letters from neighbor Dee Dee Sharkey. Board members agreed to read the letters and email each other in the next 10 days on how to respond. Scholarship: The motion was made to set $100 as the scholarship amount for our 2001 recipient, Nancy Jo Turner. The motion was seconded but not passed. The motion was made to set $200 as the scholarship amount, it was seconded and passed by all board members. Garage Sale signage: There is a concern that people are stapling garage sale signs to trees and not removing any signs after the sales. Brian said he would mention it in the next issue of the Crier. The meeting adjourned at 9:15 p.m.
