SVHOA Board Meeting September 25, 2001

Meeting commenced at 7:40 p.m.

Board Members in attendance: Brian Brick, Jill Warner, and Jennie Brick.

Board Members absent: Toby Abom and Denise Hodges.

Other attendees: Jen Frick, Bookkeeper, Steve Murphy, Matt Cronin, and Michelle Fulper.

  1. Minutes
  2. No minutes were available for approval. Jennie requested that she email all board members and interested parties with minutes for August and September prior to the October meeting. Her request was approved.

  3. Old/Continuing Business
  4. Bookkeeper's Report: Jen Frick submitted the August financial reports for discussion. Due to the conversion of the accounting software the format of the financials is not easy to read. Jennie agreed to work with Jen on the formatting of the reports. Brian asked that a preliminary budget for 2002 be available for the November board meeting, which will be the final board meeting of the year. Brian will announce in the October and November Criers that the budget will be prepared and those who might have something to submit should do so now.

    Jen had received a bankruptcy notice and agreed to contact prior bookkeepers for information on how to proceed.

    Tree Dedication: The Herzer dedication is scheduled for Saturday October 20th at 10am at Onset Park. Jill and Jennie will not be able to attend, but will send a note to Joyce Herzer. It was moved, seconded and approved that the SVHOA pay for refreshments for the reception following the event at the Herzer home. The tree selected for planting is a Ginko Tree. Brian will have fliers delivered the week before the event to remind villagers to attend.

    Speed Trailer: No update regarding the speed trailer was submitted but Jill volunteered information regarding the speed bump on Marlow. There will be a speed bump installed on Marlow and the sign for the bump will be in front of Jill's house. There is no date set for the installation of the speed bump.

    Mayor Brown invitation: Mayor Brown still has not committed to the October 23rd board meeting. Jill will follow up with his office and also call Pat Mossburg in Larry Reid's office. It was agreed that refreshments would be provided for the meeting with Mayor Brown and a flyer would go out before the meeting to inform villagers whether or not the Mayor will be in attendance.

    Future of Annual Picnic: Jill agreed to call all block captains by Oct. 12th to get feedback on this year's picnic: did they attend? did any of their block people attend? had they received any feedback? etc… Matt suggested that the format of the picnic be changed. Have different events that people could show up for and include some teen activities. He suggested that seniors usually come early in the day and to have music for them early on and change the style of music throughout the day. There was no resolution reached.

    Next issue: all copy due by noon October 13th including ad copy.

    Theme: welcome to new villagers, at least 6 pages.

    Delivery: It was moved, seconded and approved to increase Josh Muller's pay from $40 for delivery to $50 for delivery.

    Parks/Open Areas Update: Matt has been removing ivy from Onset Park. Steve has been planting oaks in both parks. He needs volunteers. Steve will follow up with railing guy. It was moved, seconded and approved to pay for the railing installation.

  5. New Business
  6. Gale/Dale honors: It was submitted that SVHOA pay for the dinner that honored Dale Muller as outgoing bookkeeper. Jen Frick and Jennie Brick were also in attendance at the dinner. It was presented to the board that the SVHOA only pay for Dale's portion of the meal, pay for Dale and Jen's portion of the meal, pay for all three meals, or only pay a set amount toward the entire meal. Brian and Jennie recused themselves from voting on the matter as they would be the ones to be reimbursed by any moneys passed by the board. Jill was the remaining "board majority" and voted to pay for the entire meal for all three individuals.

    The issue of honoring Gale Grunert as outgoing Crier Editor was presented to the attendees for discussion. Matt suggested that a dinner be planned at either Cornerstone Café or Lion's Restaurant and that prior board members and any other interested parties be invited. He further suggested that SVHOA pay for Gale and her husband and all others pay for themselves. This suggestion was moved, seconded and approved by the board. Brian said he would move forward with plans for the dinner.

    Halloween/Christmas events: The SV Rec. Center is sponsoring a Halloween activity for kids on Saturday, October 28th. Laurel March usually organized the giving tree for a needy family at Christmas and Jill will contact Laurel to find out what we need to do for that. Michelle suggested another local family that could be included in the giving tree this year. Andy and Jennifer Kitt usually organize the annual caroling at the clubhouse. Some years there have been carriage rides and a visit from Santa.

    Annual Budget Process: Brian asked for input from all villagers on events that SVHOA should/could sponsor. It was moved, seconded, and passed that the expenses from this year's SV Golf Tournament be paid for by SVHOA and that it be included in next year's budget.

    Misc.: It was suggested that a counter be added to the SV website. Jennie agreed to ask Carole Delozier to take care of that.

The meeting adjourned at 9:10p.m.
